From paper to tablet
Digitising processes means optimising them. The challenge: outdated processes and paperwork
The client’s requirements included two key points – automatisation of existing processes and making them paperless. Previously, entry and exit to the site required a written signature, as did acceptance confirmation of the site’s regulations and instructions (e.g. health and safety, fire, etc.). All documentation was traditionally kept on paper.
The solution: the M2C LOG system
We’ve chosen the LOG system to solve this problem and it has become a key part of the new offering. The system allows the registration of entries of different types of vehicles, from trucks to cars.
Our solution based on implementing ‘white lists’. Such a list can be used to verify that a person or vehicle is authorised to enter the premises. Once the card is chip-enabled, the barrier is automatically opened for the driver. Security staff who are present on the premises are able, for example, to compare the photo and data in the system with the person who is about to enter the facility. Security has not been neglected either. Security guards can see the photo of the authorised person on the tablet and check whether the driver or visitor is actually the one authorised to enter. What’s more, thanks to a convenient and intuitive app, the system allows photo documentation of vehicle loading. This can be an important piece of evidence when discrepancies arise between the volume of transport sent and received.
The result: efficiency, accuracy and control
Digitisation has not only reduced entry times, but also improved the quality of the data in the systems. Coca-Cola now has detailed visit statistics that allow it to better plan expected visits. Entries have been divided into separate categories and allow analysis of a specific sub-segment. As Petr Mařas, Head of Asset Protection at Coca-Cola HBC, puts it: “We have several types of entry here, depending on whether it is a truck, a personal vehicle or our delivery to Prague. We enter each type of transport is into a different system and we use the M2C LOG programme for our delivery vehicles and personal vehicle entry.”
Digitalisation also means strengthening the security of the facility. We know and can verify who comes to the premises, with what load, etc. We eliminate the presence of people who should not have access to the yard. We are able to quickly verify who has arrived and left, when, with what. This can resolve many unknowns almost immediately, without the need to go through dozens of sheets of paper.
